Nursery Receptionist
Role Overview
The Nursery Receptionist is a pivotal role, responsible for the smooth and efficient running of the nursery’s reception and administrative functions. The successful candidate will be the welcoming first point of contact for prospective parents, staff, and visitors, ensuring an exceptional level of customer service and administrative support to the nursery management team and staff.
Key Responsibilities
Reception and Parent/Visitor Services
- Front-of-House Management: Manage the reception area, ensuring it is tidy, professional, and prepared at all times for visitors.
- Communication: Professionally answer and direct incoming telephone calls, manage the door, and greet all visitors.
- Enquiry Management: Serve as the initial point of contact for nursery space enquiries, providing clear, accurate, and basic information regarding availability, fees, and the nursery’s ethos.
- Viewing Coordination: Efficiently book and manage viewing appointments for prospective parents.
- System Follow-up: Utilise the nursery’s dedicated software system to diligently log, follow up on, and track all prospective parent visits and general enquiries, ensuring a consistent and high conversion rate.
- Post and Parcels: Collect and distribute incoming post from the mailroom and manage the unpacking and distribution of incoming parcels.
- Display Maintenance: Maintain and regularly update reception area displays to be informative and visually appealing for parents and visitors.
Administrative and HR Support
- Ad Hoc Administration: Provide comprehensive administrative support to the nursery staff and management team, including photocopying, filing, and data entry.
- Recruitment Assistance: Support the recruitment process by accurately taking detailed notes during staff interviews.
- Staff Documentation: Assist with the referencing process for new staff members and accurately upload all required staff documents and compliance records onto the nursery’s software system.
- General Filing: Maintain an organised and up-to-date filing system for all key documents.
- Online orders: Assist in ordering of nursery resources, PPE, and weekly online food shop.
Skills and Requirements
Essential Skills
- Successful applicants will be required to undergo an Enhanced Disclosure and Barring Service (DBS) check and comprehensive background checks as part of the recruitment process, due to the nature of working in an Early Years setting. Furthermore, mandatory training relevant to Early Years standards must be successfully completed during the probationary period.
- Experience: Proven previous experience in a Nursery Administrator or Receptionist role, preferably within a childcare or educational setting.
- IT Proficiency: High level of computer literacy, with demonstrable experience and proficiency in using Microsoft Office Suite (Word, Excel, Outlook). Experience with bespoke nursery management software is highly desirable.
- Communication: Excellent written and verbal English communication skills, with a professional telephone manner and the ability to articulate information clearly and concisely to diverse audiences.
- Organisation: Exceptional organisational and multitasking abilities with a keen eye for detail.
- Customer Service: A customer-focused approach with a friendly, welcoming, and approachable demeanour.
Desirable Skills
- Sales Acumen: Previous experience in a sales or customer-facing role where promoting a service was key is a distinct advantage.
- A-level English
